New Journey, a Genesis10 company, is currently seeking an Executive Assistant for our client located in New Holland, PA. This position is a 12-18 month contract role that requires 100% onsite presence. The Executive Assistant will play a crucial role in supporting the head of Network Development and various department managers by developing and maintaining a comprehensive SharePoint site. This includes organizing existing data and creating a folder structure at an organizational level to enhance accessibility and efficiency. The Executive Assistant will be responsible for tracking and managing regional Key Performance Indicators (KPIs) across all functions, serving as the lead interface for all support functions related to service dealer setup. This involves managing location and data transfers, overseeing central site maintenance, and coordinating small contract modifications by interfacing with legal for approvals and filing necessary paperwork. Additionally, the role requires tracking costs associated with third-party service providers. Collaboration is key in this position, as the Executive Assistant will work cross-functionally with management heads to identify opportunities for process improvements, propose system modifications, and devise data governance strategies. The role also includes supporting site coordination, which encompasses executive travel arrangements and local team event logistics, ensuring that all activities are well-organized and executed smoothly. Inventory tracking and management will be another critical responsibility, with weekly updates provided to management along with recommendations based on observed trends and issues. The Executive Assistant will also have the opportunity to cross-train with the Sales Operations team, learning various activities to support the team during peak periods, including supplier management, SAP data entry, and customer delivery issue tracking. In addition to these responsibilities, the Executive Assistant will manage and distribute sales-related information within the office, schedule meetings, take detailed notes for post-meeting summaries, and prepare presentations on a weekly, monthly, and quarterly basis. The role requires a proactive approach to problem-solving, excellent organizational skills, and the ability to work with confidential information while maintaining a high level of professionalism.
