About the position

Bridge Specialty Group is seeking an Executive Assistant to join our team, reporting directly to the Executive Vice President (EVP) and being a vital member of the Senior Leadership Team. This role is crucial for the administration and organization of the EVP's office, requiring a proactive approach to manage priorities and anticipate the needs of the EVP. The Executive Assistant will balance several initiatives, including scheduling events, coordinating travel, preparing presentations, and managing internal projects. The ideal candidate will thrive in a collaborative environment, demonstrating a client-focused attitude and valuing relationships, professionalism, and trust. They will be detail-oriented and organized, with solid communication skills and a commitment to continuous learning. The Executive Assistant will develop and execute effective communication strategies to keep the EVP informed, prepare meeting agendas, and provide supporting materials for various activities. In this role, the Executive Assistant will manage the EVP's calendar, respond to meeting requests, and ensure all necessary arrangements for meetings are in place, including AV equipment and catering. They will also be responsible for making travel arrangements, processing expenses, and overseeing activities related to training programs and corporate leadership positions. The ability to work cooperatively with others and manage competing deadlines is essential, as is the capacity to leverage technology to enhance performance. Minimal travel may be required, with less than 10% of the time spent traveling.

Responsibilities

  • Administer and organize the EVP's office, anticipating needs and prioritizing tasks.
  • Develop and execute effective communication strategies to keep the EVP informed.
  • Prepare meeting agendas and presentations for various meetings.
  • Review and categorize emails for the EVP's review, responding when appropriate.
  • Set up in-person or virtual meetings, ensuring all necessary equipment and supplies are prepared.
  • Attend meetings, take notes, and follow up on action items as needed.
  • Manage the EVP's calendar, responding to meeting requests and scheduling all-day events.
  • Make travel arrangements for the EVP, including itineraries and necessary meetings.
  • Process expenses using Concur and review expenses for direct reports to the EVP.
  • Plan and oversee activities related to training programs and corporate leadership positions.

Requirements

  • Ability to operate in a fast-paced, high-pressure environment while maintaining professionalism and confidentiality.
  • High proficiency in Microsoft Office Suite, Windows, Concur, and Workday.
