About the position

We are looking for an experienced Executive Assistant to provide support to two of our Advertising leaders at Spotify. In this role, you will work closely with leadership to accelerate business results by providing creative, strategic, tactical, and organizational support for key initiatives across our top clients. Your responsibilities will include partnering with internal teams for industry events, client engagements, crafting presentations, assisting with meeting preparation, conducting client research, and providing comprehensive administrative support to our team. You will serve as a vital point of contact between top management, team members, and related stakeholders across Spotify, ensuring that our external brand partners have a seamless experience with the Spotify advertising message. Your role will involve scheduling work-related meetings and events, managing calendars on short notice, and handling expense reports along with other day-to-day administrative tasks. You will coordinate extensive business travel logistics, ensuring detailed itineraries are prepared. Additionally, you will be responsible for the coordination, setup, and execution of off-site/team-building activities and departmental social events. Your support will extend to preparing presentations and financial analyses used by leadership for senior client meetings, team meetings, agency meetings, and industry education. This includes generating reports such as quarterly business reviews, forecasting, and tracking. As the team's point person, you will address questions and concerns relating to the cadence of the business, meeting agendas, and calendar planning. Your job will encompass meeting and calendar organization, booking travel, and processing invoicing and payments, all while maintaining a high level of professionalism and efficiency.

Responsibilities

  • Schedule work related meetings and events including managing calendars on short notice.
  • Handle expense reports and other day-to-day administration.
  • Coordinate extensive business travel logistics with detailed itineraries.
  • Coordinate, setup and execution of off-site/team building activities and departmental social events.
  • Provide coordination and administrative support.
  • Prepare presentations and financial analysis used by leadership for senior client meetings, team meetings, agency meetings, and industry education.
  • Plan and execute client events, industry conferences, and internal off-sites.
  • Act as the team's point person for questions/concerns relating to the cadence of the business, meeting agendas and calendar planning.

Requirements

  • An executive assistant with at least 5+ years experience reporting to a senior executive(s).
  • Highly organized and efficient with meticulous attention to detail.
  • Outstanding communications skills in both written and spoken forms.
  • Able to bring a focused and steady sense of administrative and operational expertise while remaining calm under pressure.
  • Excellent proficiency using Mac programs, Microsoft Office Suite, as well as Google apps and calendar.
  • A true travel hacker, able to find the best itinerary and logistics options globally.
  • A loyal self starter, forward thinker, and problem solver.
  • Able to meet tight deadlines, handle multiple projects and expectations, and maintain a sharp focus while managing competing priorities.
  • Accomplished in mastering an ever changing and challenging schedule.
  • Proactive and can anticipate needs and/or changes that may occur.
  • Skilled in relationship building with a high sense of integrity.
  • Able to be a team player and work effectively with other team members & staff.
  • Experienced in working in a fast paced dynamic and international environment.
  • Highly proactive, and able to initiate change in a constructive way.
  • Experience with Salesforce or related CRM, and comfortable creating and delivering presentations via keynote, Google slides, and PowerPoint.
  • Strong quantitative outlook, matching analytical skills, and the ability to do non-linear thinking.
  • Ability to identify and implement creative solutions.
  • Care about organization, efficiency and clear communication.
  • Strong interest in developing strategic skills in the context of business and technology.
  • Effective listener and communicator with a wide degree of creativity and latitude.
  • Advanced Microsoft Excel skills.
  • Bachelor's degree, preferably in Advertising, Business, Communications or Marketing.
