About the position

The Executive Assistant position at Novo Nordisk is a pivotal role within the Finance, Insights & Enterprise Solutions department, located in Plainsboro, NJ. This department is integral to the organization, providing insights and intelligence that inform decision-making processes and drive digitalization and business solutions to achieve the goals of Novo Nordisk. The Executive Assistant will perform a wide range of highly diverse and complex assignments of a responsible and confidential nature for a Vice President (VP), Corporate Vice President (CVP), or Senior Vice President (SVP). This role requires a high level of tact, discretion, persuasion, and negotiation skills, as the assistant will monitor access and redirect correspondence based on the executive's priorities. In this role, the Executive Assistant will directly support a VP, CVP, or SVP and will interact with internal and external sources at the executive level, necessitating skillful communication and influence. The position involves collaborating closely with other administrators, business leaders, and global colleagues, coordinating and executing outputs from leadership team meetings, and designing and planning moderate to large-scale meetings and off-sites. The Executive Assistant will also be responsible for directing administrative activities, developing and organizing procedures, and ensuring compliance with company procedures. The position requires the ability to function autonomously, exercising discretion and judgment while working independently on a variety of complex assignments and special projects. The Executive Assistant will handle correspondence and requests for information, make decisions on behalf of the executive, and independently research and develop reports and budgets. This role may also involve leading moderately complex projects within the department or those that have a cross-functional nature, providing support for budgets, and participating in planning and business-related meetings. The Executive Assistant will perform a variety of routine office duties, including typing, invoicing, record maintenance, data entry, meeting/travel arrangements, and processing expense reports. Physical requirements include minimal overnight travel, estimated at 0-10%.

Responsibilities

  • Perform a wide range of highly diverse and complex assignments of a responsible and confidential nature for a VP, CVP, or SVP.
  • Monitor access and redirect correspondence on behalf of the executive based on priorities set by the executive.
  • Interact with internal and external sources at the executive level requiring skill, tact, influence, and negotiation.
  • Collaborate closely with other administrators, business leaders, and global colleagues.
  • Coordinate and execute outputs and actions from leadership team meetings.
  • Design, plan, and execute moderate to large scale meetings and off-sites.
  • Direct administrative activities, develop and organize procedures, and represent the department using written and verbal communication skills.
  • Ensure company procedures are followed and direct questions accordingly.
  • Function autonomously, exercising discretion and judgment on a variety of complex assignments and special projects.
  • Handle correspondence and requests for information, making decisions on behalf of the executive.
  • Independently research and develop reports and budgets, drawing conclusions and making recommendations.
  • Lead moderately complex projects within the department or that have a cross-functional nature.
  • Provide support for budgets and participate in planning and other business-related meetings.
  • Perform a wide range of administrative and general support duties of a highly responsible and confidential nature.
  • Plan and prepare communications requiring skill, tact, persuasion, and negotiation.
  • Support team members for general administrative needs such as presentation development, greeting guests, and new hire onboarding.
  • Perform routine office duties involving typing, invoicing, record and file maintenance, data entry, meeting/travel arrangements, and processing expense reports.

Requirements

  • A high school diploma or GED is required.
  • A minimum of 6 years of administrative or related experience is required.
  • Advanced training or administrative certification is a plus.
  • Ability to exercise independent discretion and/or judgment.
  • Ability to handle sensitive and confidential information.
  • Ability to interact with all levels inside and outside of the organization along with HQ and global affiliates.
  • Ability to manage multiple priorities.
  • Ability to understand implications of work and make recommendations for solutions.

  • Excellent customer service skills.
  • Requires demonstrated computer skills and use of Microsoft Office.
