About the position

The Executive Assistant will support up to three Fiduciary Counsel in the Trust and Estate Department and one more Client Tax professional. The successful candidate will demonstrate judgement, attention to detail, personal ownership, and organization. We are seeking a candidate with excellent communication, writing, editing, and multitasking skills. The candidate should be able to interface with all levels of colleagues, clients, and their advisors. The ability to work independently and with teams, convey a positive attitude, and to accept constructive feedback will be critical to this role. Responsibilities include calendar management and coordination of multiple schedules, which involves arranging resources such as conference rooms, A/V, IT, or Helpdesk. The Executive Assistant will also coordinate travel arrangements including air, hotel, and transportation, process travel and expense reports, manage and compose detailed correspondence, and organize meetings and luncheons as needed. Additionally, the role requires preparing outlines, charts, and other materials for internal and external use, drafting minutes and agendas for trust and estate related committees and working groups, facilitating the initial estate plan review process, and assisting with developing flowcharts of client estate plans. The candidate will also be responsible for editing and proofreading presentation materials, optimizing the use of Excel, Word, PowerPoint, and other internal applications to maximize efficiencies, establishing effective working relationships with colleagues and external contacts, and filing correspondence and other documents in internal databases.

Responsibilities

  • Calendar management and coordination of multiple schedules (includes arranging resources - conference room, A/V, IT or Helpdesk).
  • Coordinate travel (air, hotel, transportation).
  • Process Travel & Expense Reports.

  • Organize meetings and luncheons as needed.
  • Prepare outlines, charts, and other materials for internal and external use (e.g., client meetings, public presentations, speaking engagements).
  • Draft minutes and agendas for trust and estate related committees and working groups.
  • Facilitate initial estate plan review process; assist with developing flowcharts of client estate plans.
  • Edit and proofread presentation materials, outlines, and client communications.
  • Optimize use of Excel, Word, PowerPoint, and other internal applications to maximize efficiencies.
  • Establish effective working relationships with colleagues and external contacts.
  • File correspondence and other documents in internal databases.

Requirements

  • Bachelor's Degree preferred.
  • Highly proficient in MS Office Suite, Adobe, etc.
  • Excellent written and verbal communication skills.
  • Acute attention to detail.
  • Proficiency in or willingness to learn additional computer applications: Concur, Salesforce, Bessemer proprietary systems.
