About the position

The Executive Assistant will provide comprehensive executive-level administrative support to a high-ranking executive within the organization. This role is crucial in facilitating the executive's ability to lead effectively by managing a variety of tasks that include assisting with special projects, designing and producing complex documents, reports, and presentations, and preparing information for meetings with both staff and external parties. The Executive Assistant will also be responsible for composing and preparing correspondence, maintaining contact lists, making travel arrangements, and completing expense and mileage reports. In addition to these core responsibilities, the Executive Assistant will manage the executive's calendar with sophistication, prioritizing inquiries and requests while troubleshooting conflicts. This includes making judgments and recommendations to ensure smooth day-to-day engagements. The role serves as the primary point of contact for internal and external constituencies on all matters pertaining to the executive, including those of a highly confidential or critical nature. The Executive Assistant will prepare correspondence, reports, and presentations, and act as a liaison to provide support to other executives and their administrative assistants. The position also involves overseeing executive-related meetings and event logistics, which includes scheduling meetings, drafting agendas, and developing, compiling, and distributing presentation materials. Coordination of department meetings and events with direct reports, as well as preparing meeting minutes as needed, are also part of the responsibilities. The Executive Assistant may perform other duties as assigned, which will not exceed 5% of their overall duties.

Responsibilities

Requirements

  • Bachelor's degree in a business-related field or equivalent experience required.
  • 7+ years of Executive Assistant level experience supporting a C-level executive with a focus on diversity, equity, and inclusion.
