About the position

Under the supervision of the VP of Retirement Services, this position will provide support to Executive Leadership in the Marsh & McLennan Agency Southwest regional office. The successful candidate will be proactive, organized, and work well with all levels of internal management and staff, outside clients, and vendors. This role is essential in coordinating executive communications, managing schedules, and ensuring that the executive's time is conserved by efficiently handling various tasks. The position requires a high level of confidentiality and the ability to manage multiple projects in a fast-paced environment. The Executive Administrator will be responsible for scheduling meetings and appointments, managing travel itineraries, and preparing reports and presentations. This includes collecting and analyzing information, developing project plans, and tracking project deadlines. The role also involves performing data analysis using Microsoft Office applications, particularly Excel, where proficiency in functions such as V-lookup and pivot tables is essential. The candidate will also be expected to uphold a strict level of confidentiality and provide historical reference by developing and utilizing filing and retrieval systems, as well as recording meeting discussions.

Responsibilities

  • Coordinate executive communications, including taking calls, responding to emails, and interfacing with colleagues.
  • Schedule meetings/appointments and manage travel itineraries.
  • Conserve executive's time by reading, researching, collecting, and analyzing information.
  • Prepare reports, collect and analyze information, and prepare presentations.
  • Provide historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
  • Perform data analysis and proficiently use MS Word, Excel, and Outlook.
  • Filter and sort data, perform V-lookup, and other functions in Excel.
  • Develop project plans, including schedule, budget, team member duties, and timeline.
  • Work with department managers and follow up on results.
  • Track project deadlines.
  • Uphold a strict level of confidentiality.

Requirements

  • 3-5 years working as an Executive Administrator or in a similar administrative role in a large corporate environment.
  • Ability to manage multiple projects and priorities in a fast-paced environment.
  • Excellent verbal and written communication skills and ability to interact with senior leaders of the firm.
  • Strong ability to work independently and conduct business with a high level of commitment, judgment, and follow-through.
  • Highly proficient in Microsoft Office applications: Outlook, Word, Excel (specifically pivot tables/V-lookups), and PowerPoint.
