About the position

Tri-Pac, Inc., a leading contract development and manufacturing company (CDMO) specializing in liquid and aerosol filling for personal care and pharmaceutical marketers, is seeking an experienced Executive Assistant to join our fast-growing team in South Bend, Indiana. This full-time position is crucial for supporting our Senior Management team and ensuring the smooth operation of administrative tasks. The ideal candidate will have a strong background in executive administrative support, with a focus on managing high-volume communications and prioritizing tasks that require immediate attention. As an Executive Assistant, you will be responsible for handling all administrative tasks associated with the Senior Management. This includes reviewing and preparing all matters that require Directors' review and approval, preparing agendas, and making arrangements for meetings, including coordinating catering for luncheons. You will also compile, transcribe, and distribute minutes of meetings, create complex and detailed reports ensuring accuracy, and conduct research to prepare papers for consideration and presentation by executives, committees, and boards of directors. In this role, you will need to prioritize incoming issues while maintaining strict confidentiality and perform general office systems tasks such as ordering supplies and maintaining records management database systems. You will develop and maintain strong working relationships with internal and external stakeholders, greet visitors, and determine their access to specific individuals. Additionally, you will review operating practices and procedures to identify areas for improvement in workflow, reporting procedures, or expenditures. Special projects and other duties as assigned will also be part of your responsibilities.

Requirements

  • Bachelor's degree required in Business Administration, Accounting or Science
  • Master's degree preferred in Science, Math or relevant field
  • 7 years of executive administrative experience in a corporate environment
  • Experience supporting the senior leadership team
  • Ability to work independently or as part of a team with minimal supervision
  • Excellent organizational and interpersonal skills
  • Excellent time management skills and ability to prioritize multiple projects
  • Proficient in Microsoft Office including Microsoft Project and SharePoint
