About the position

The Jed Foundation (JED) is a nonprofit organization dedicated to protecting emotional health and preventing suicide among teens and young adults. We are currently seeking a highly organized and proactive Executive Assistant to support our Senior Vice President of Policy, Advocacy & Government Relations. This role is crucial in ensuring the SVP operates at maximum efficiency by managing their workflow, priorities, and schedule. The ideal candidate will have a strong background in supporting executives, with exceptional organizational and communication skills, and the ability to juggle multiple tasks and deadlines effectively. In this position, the Executive Assistant will be responsible for coordinating the SVP's calendar, managing travel arrangements, and overseeing expense management. The role also involves drafting communications on behalf of the SVP, managing email correspondence, and preparing for both internal and external meetings. The Executive Assistant will play a key role in supporting the leadership team by gathering information, preparing documents, and ensuring that projects are moving forward efficiently. This includes taking notes during meetings, tracking responsibilities, and managing special projects as assigned by the SVP. The successful candidate will need to prioritize and manage multiple projects simultaneously, ensuring timely follow-through on various issues. They will also assist with event planning logistics and identify opportunities to streamline processes and systems to enhance the SVP's workflow. A passion for promoting emotional health and preventing suicide among young adults is essential, as is alignment with JED's commitment to diversity, equity, inclusion, and antiracism.

Responsibilities

  • Support the Senior Vice President (SVP) in all aspects of their work, maximizing efficiency by coordinating workflow and priorities.
  • Manage the SVP's calendar, travel arrangements, and expense management.
  • Draft communications on behalf of the SVP as assigned and manage their email communications.
  • Prepare for internal and external meetings for the SVP and the division leadership team as assigned.
  • Assist leadership team members in moving projects forward by gathering information, prepping documents, and communicating with different parties.
  • Develop and monitor plans, take notes, and keep track of responsibilities for various projects.
  • Manage special projects assigned by the SVP and ensure timely follow-through on issues.
  • Schedule, prepare materials and notes, and ensure follow-up for various projects and meetings.
  • Assist with event planning logistics and other projects as needed.
  • Anticipate needs from the SVP and identify opportunities to create processes and systems to streamline workflow.

Requirements

  • BA/BS Degree or equivalent experience.
  • 5+ years of experience as an executive assistant.
  • Experience engaging with board members and senior leadership at external organizations, specifically at the Federal level.
  • Experience working on 'the Hill' is a huge plus.
  • Excellent written, oral, and interpersonal skills.
  • Excellent planning and organizational skills with strong attention to detail.
  • Experience with travel and expense management.
  • Experience scheduling complex meetings across multiple time zones with internal and external stakeholders.
  • Ability to work independently, exercise professional judgment, and maintain discretion.
  • Team-oriented and flexible.
  • Proficient in Google Docs, Microsoft Word, Slack, Excel, and PowerPoint.
  • Passion for promoting emotional health and preventing suicide among college students.
