The Executive Assistant at Furman University plays a crucial role in providing strategic support to the Associate Academic Dean and the Assistant Academic Dean. This position is designed to facilitate the work of these academic leaders by managing communications, scheduling, document processing, and budget management. The Executive Assistant will be responsible for maintaining the calendars of the deans, ensuring that all meetings are scheduled efficiently and that all necessary preparations are made in advance. This includes sending out calendar invites, preparing meeting agendas, and ensuring that any required technology or materials are available for meetings. In addition to scheduling, the Executive Assistant will handle a variety of administrative tasks that require a high level of confidentiality and attention to detail. This includes maintaining confidential student records, processing requests related to academic policies, and assisting students with course registration and academic discipline cases. The role also involves coordinating communication and documentation for various academic processes, such as graduation audits and academic probation assessments. The Executive Assistant will also manage budgetary responsibilities, including maintaining monthly budgets for the deans, arranging travel, and reconciling expense reports. This position requires a proactive approach to problem-solving and the ability to work collaboratively with various departments across the university. The Executive Assistant will also be expected to engage in professional development opportunities to stay current with university processes and tools. Responsibilities

  • Manage email and communications related to the Associate Academic Dean's office.
  • Gather information from inquiries from students, parents, faculty, or staff members.
  • Direct inquiries to appropriate campus partners.
  • Maintain calendars and schedules for the Associate and Assistant Academic Deans.
  • Schedule meetings with multiple participants and send calendar invites and meeting agendas.
  • Maintain confidential student records using various platforms.
  • Process requests such as Absence Request Notifications and Final Exam Changes.
  • Assist students in course registration or alterations.
  • Process Sponsored Event requests and athletic absence notifications.
  • Manage academic discipline cases and produce sanction letters.
  • Coordinate readmission processes for students after suspension or withdrawal.
  • Process leaves of absence and university withdrawals.
  • Apply Registration Holds to student accounts.
  • Support communication and documentation for Academic Probation assessments.
  • Maintain monthly budgets and expenditure reconciliations for the deans.
  • Arrange travel authorizations and make travel arrangements.
  • Attend professional development workshops and educational opportunities.
  • Create monthly academic advising newsletters.
  • Assist in processing reimbursements and stipends for various initiatives.

Requirements

  • Proven experience as an executive assistant or in other administrative roles.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proficiency in using office software and tools, including email and calendar management systems.
  • Experience with budget management and financial reconciliation.
