About the position

The Executive Assistant role at Robert Half is a long-term contract position in the non-profit sector, based in Battle Creek, Michigan. This position is crucial for providing administrative and executive support, maintaining relationships with various stakeholders, and managing specific projects. The role requires a highly organized individual who can handle confidential information and coordinate logistics effectively, working 100% onsite from Monday to Friday, 8 am to 5 pm.

Responsibilities

  • Provide administrative and executive support, including handling confidential information, sorting and routing incoming correspondence, and coordinating travel logistics
  • Establish and maintain strong relationships with colleagues, teams, grantees, and partners
  • Provide technical support for budget planning and administration by analyzing data, processing invoices, purchasing, vendor due diligence, tracking and verifying information, reconciliation, and running reports
  • Serve as project manager for specific projects identified by pod/core leader by developing project plans, ensuring deadlines are met and budget is maintained
  • Facilitate team and project meetings by tracking appropriate items, updating the Trello board as needed and ensuring desired outcomes by engaging team members when needed
  • Serve as team lead when working with other pods, squads or core teams to plan meetings or convenings, office space planning, and other internal or external coordination needs
  • Serve as pod or core talent liaison by partnering with pod, core, squad and chapter leaders, Talent and Human Resources (THR) and the Transform the Foundation Pod to provide leadership, expertise and support around the management of key organizational functions
  • Serve as back-up to the concierge desk representative, managing desk activities and first point of contact for grant seekers and grantees with general inquiries, information, and critical requests of the foundation
  • Serve on cross-functional working groups providing thought partnership and project management leadership
  • Assist in the coordination of Executive Council and Steerco meetings and leadership cohort engagements
  • Other duties as assigned.

Requirements

  • A minimum of 2 years of experience in an Executive Assistant role or similar.
  • Proficiency in using ADP - Financial Services.
  • Experience with Cisco Webex Meetings for setting up and managing virtual meetings.
  • Familiarity with Concur for managing travel and expenses.
  • Practical knowledge of CRM systems for managing customer relationships.
  • Experience with Kronos Timekeeping System for tracking work hours.
  • Familiarity with About Time for project management.
  • Excellent skills in Calendar Management to organize and schedule appointments.
  • Strong Communication skills for effective verbal and written interactions.
  • Experience in managing Conference Calls, including scheduling and technical setup.
  • Ability to handle Correspondence, including drafting letters, emails, and reports.
