Responsibilities

  • Performing complex administrative duties including responding for executive(s) when he is unavailable, composing correspondence, and coordinating resources across corporate functions.
  • Handling various administrative details with initiative and good judgment.
  • Providing general administrative support including typing, answering multiple phone lines, indexing and filing documents, making copies, handling travel arrangements, organizing all expenses and submitting for payment for each executive, and scheduling meetings for senior management.
  • Participating in educational activities and programs.
  • Support for four Regional CFOs, several VP level executives, and other office support.
  • Onboard new team members within your support area: Insuring he/she has office space, computer, phone extension, and all new hire forms are submitted for AMEX, Concur, setting up building access cards, and additional material required based on position of the new team member.
  • Review all processes and procedures for the ASD office.
  • Daily office mail delivery and FedEx supplies.
  • Organization and distribution of parking validations, and building maintenance requests.
  • Coordinating Office Gatherings (Yearly and Monthly activities).
  • Maintain equipment, place service calls as needed.
  • Maintain Offsite Storage.
  • Greet guests, sign for deliveries.
  • Maintain Dallas Office Directory.

Requirements

  • Associates degree or equivalent work experience required.
  • Knowledge of general management principles.
  • Knowledge of organizational policies, procedures, and systems.
  • Ability to type 60 wpm.
  • Ability to work in a fast paced, high stress environment.
  • Strong interpersonal, communication, and organizational skills.
  • High level of proficiency with MS Office products including Outlook, Word, Excel, and PowerPoint.
