The Executive Assistant is responsible for providing high-level organizational and administrative support to the President/CEO of Arizona Western College, requiring the application of specialized technical/administrative knowledge and the exercise of initiative, independent judgment, decision making, confidentiality, and discretion. This position involves anticipating, analyzing, and meeting the administrative demands of the President's office, multi-tasking to effectively handle a rapid pace of activity and frequently changing priorities. You will facilitate the efficient utilization of the President's time through the development and coordination of a complex calendar of appointments, meetings, social engagements, and College and community functions with individuals and groups, managing the President's time for maximum productivity and efficiency. In addition, you will coordinate communication from the President's office to both internal and external stakeholders, serving as a liaison between the President and other College administrators, members of the District Governing Board, public and private officials, various boards, faculty, staff, students, and the various publics served by the College. This role also includes providing high-level administrative support to the District Governing Board members, managing budget functions, coordinating events, and supporting strategic planning initiatives. You will be expected to stay abreast of current projects under the direction of the President and assist when needed, ensuring that all tasks are completed efficiently and effectively.

Responsibilities

  • Provide high-level organizational and administrative support to the President/CEO of Arizona Western College.
  • Anticipate, analyze, and meet the administrative demands of the President's office.
  • Facilitate the efficient utilization of the President's time through the development and coordination of a complex calendar of appointments and meetings.
  • Act as the primary contact for all matters related to the President's schedule and activities.
  • Coordinate communication from the President's office to internal and external stakeholders.
  • Serve as a liaison between the President and other College administrators and public officials.
  • Prepare board meeting packets, agendas, minutes, and correspondence for the District Governing Board members.
  • Support the President's office in budget management and purchasing functions.
  • Coordinate events hosted by the President's office, including scheduling and preparing agendas.
  • Independently compile data and prepare written summaries or presentations for various reports.
  • Support and complete special projects as directed by the President.
  • Participate in strategic planning initiatives and perform other duties as assigned.

Requirements

  • Bachelor's degree AND four years of administrative/clerical experience to an executive or administrative/clerical experience; or a combination of four years of experience in administrative/clerical experience and leadership/supervisory experience and project management experience.
  • OR Associate's degree AND six years of administrative/clerical experience to an executive or administrative/clerical experience; or a combination of six years of experience in administrative/clerical experience and leadership/supervisory experience and project management experience.
  • OR an equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved may be considered.
  • Valid Drivers License.
