About the position

The Executive Assistant role at Robert Half is designed to provide comprehensive support to upper management within the hospitality industry. This position involves managing detailed calendars, overseeing social media accounts, and coordinating daily activities to ensure efficient workflow. It is a long-term contract opportunity based in New York, New York.

Responsibilities

  • Manage and organize detail oriented calendars to ensure efficient time management
  • Oversee and update all company social media accounts, maintaining consistent branding and messaging
  • Provide comprehensive support to upper management, acting as a liaison between them and other departments or external contacts
  • Coordinate, plan, and execute daily activities and operations to ensure smooth workflow
  • Utilize ADP - Financial Services, Cisco Webex Meetings, Concur, CRM, Kronos Timekeeping System, About Time, Calendar Management, Communication, Conference Calls, Correspondence skills to complete tasks efficiently and effectively
  • Prepare reports, presentations, and data as required, ensuring accuracy and timeliness
  • Implement promotional campaigns on social media, ensuring alignment with company branding and messaging
  • Act as a point of contact for customer inquiries, providing timely and accurate responses
  • Monitor customer accounts and take appropriate action when necessary, maintaining accurate customer records.

Requirements

  • Experience as an executive assistant
  • Familiarity with Microsoft Office Suite, Zoom
  • Experience with Concur for travel and expense management
  • Understanding of Customer Relationship Management (CRM) systems
  • Excellent calendar management skills to coordinate executive schedules
  • Strong communication skills for effective internal and external correspondence
  • Experience in managing conference calls and coordinating meeting logistics
  • Proficiency in drafting and managing correspondence
  • Demonstrated ability to maintain confidentiality and handle sensitive information
  • Must possess strong organizational skills and attention to detail
  • Ability to work independently and as part of a team
  • Flexibility to adapt to changing priorities and multitask effectively
  • Exceptional problem-solving skills to navigate complex situations
  • Must be legally eligible to work in the location of the job.
