About The Position

Carolina Farm Trust is seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the CEO, Chief of Staff, General Manager of the CFT Market, and Director of Urban Agriculture. The ideal candidate will be a detail-oriented professional with exceptional communication skills and the ability to manage multiple priorities in a fast-paced environment. This role is crucial in ensuring that the executives can focus on strategic initiatives while the Executive Assistant handles the day-to-day administrative tasks that keep the organization running smoothly. The Executive Assistant will be responsible for managing and maintaining the executives' schedules, which includes coordinating meetings, appointments, and travel arrangements. This position requires preparing meeting agendas, materials, and minutes, as well as following up on action items. The Executive Assistant will also handle confidential information with discretion, ensuring that sensitive matters are managed appropriately. In addition to administrative support, the Executive Assistant will serve as a point of contact between the executives and internal/external stakeholders. This includes drafting, proofreading, and editing emails, reports, presentations, and other documents. The role also involves assisting in managing and prioritizing incoming communications to ensure that the executives are informed and can respond effectively. Project management is another key aspect of this position. The Executive Assistant will support the executives in planning and executing special projects and initiatives, tracking project timelines and deliverables to ensure that deadlines are met. This includes assisting in the preparation of reports and presentations for both internal and external audiences. Event coordination is also part of the responsibilities, where the Executive Assistant will coordinate and manage logistics for meetings, conferences, and events. This involves liaising with vendors, partners, and attendees to ensure successful event execution and providing on-site support as needed during events. Furthermore, the Executive Assistant will maintain office supplies, equipment, and facilities, coordinating with IT and other departments to resolve administrative issues. The role requires ensuring that the office environment is organized and conducive to productivity. Additionally, the Executive Assistant will provide support to the General Manager and Director of Urban Agriculture by assisting with strategic initiatives, research, and other tasks as directed by the executives, managing and prioritizing multiple tasks and projects on their behalf.
