About the position

As the Executive Assistant to the CEO and President at Bill360 Inc, you will be responsible for providing comprehensive administrative support to ensure the efficient operation of the executive office. This role is critical in managing the executive's schedule, coordinating meetings and events, handling communications, and executing various administrative tasks to facilitate smooth operations at the highest level of the organization. The Executive Assistant plays a pivotal role in ensuring the effectiveness and productivity of the executive office, requiring a proactive and detail-oriented individual who can anticipate needs, exercise sound judgment, and maintain confidentiality while supporting the organization's leadership team. In this position, you will act as the primary point of contact and liaison between the CEO, President, and internal/external business associates. You will also provide support to the Board of Directors and Investors, managing a broad variety of administrative tasks that facilitate the CEO and President's ability to effectively lead the organization. This includes assisting with special projects, designing and producing complex documents, reports, and presentations, and collecting and preparing information for meetings with staff and outside parties. You will be responsible for arranging and managing all logistics for Board meetings and events, which includes scheduling meetings, drafting agendas, developing, compiling, and distributing presentation materials, and recording meeting minutes. Additionally, you will organize meetings, conferences, and special events, handling logistics and agenda preparation, and coordinate travel arrangements, including booking flights, hotels, and transportation, as well as managing expense reports. You will also screen and direct phone calls, distribute correspondence, oversee private air travel arrangements for the CEO and Board Members, and undertake various administrative tasks to support the CEO and President's leadership effectively. Managing sensitive and confidential information with discretion and professionalism is paramount in this role.

Responsibilities

Requirements

  • High School diploma required; Bachelor's Degree in a related field is a plus.
  • Proven experience as an executive assistant or similar role, supporting C-level executives required.
  • Previous experience working as a paralegal or legal assistant in a law firm or corporate legal department is a plus.
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Ability to work independently with minimal supervision, while also functioning effectively as part of a team.
  • Flexibility to adapt to changing priorities and work under pressure in a fast-paced environment.
  • Strong communication skills, both written and verbal, with a professional and courteous demeanor.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Discretion and confidentiality in handling sensitive information.
  • Resourcefulness and problem-solving ability in a fast-paced environment.
  • Exemplary planning, time management, and organizational skills.
  • Current in video conferencing office technology, and computer software including MS Office (Word, Excel, PowerPoint, Outlook, MS Teams).
