This role provides daily administrative support to the President of the North America segment and members of the leadership team to ensure effective and efficient time management, communication and collaboration, through calendar management, meetings, and travel arrangements. This support is necessary to ensure smooth and consistent coordination and communication for the successful accomplishment of the strategic goals and day-to-day requirements of the business. Our ideal candidate is technically skillful, a fast learner who finds it easy to adapt, contributes to change and understands the value of teamwork, collaboration and confidentiality. We are looking for someone who is capable of taking the administrative services to the next level and who will positively influence the environment and ways of working.

Responsibilities

  • Coordinates the day-to-day operations of the President and other leadership team members.
  • Manages and maintains their schedules in an efficient and effective manner while maintaining a high level of professionalism, discretion and confidentiality.
  • Plans the logistics and travel arrangements for off and on-site meetings including site selection, banquet orders, A/V requirements, accommodations and travel itineraries utilizing travel services and outside vendors.
  • Manages all travel for President and other leadership team members, including monthly reconciliation of expense reports.
  • Manages and monitors the executive operational budget by participating in the budget planning cycle.
  • Supports significant projects that require a high degree of confidentiality, attention to detail, and accuracy.
  • Participates on corporate committees to support engagement activities such as Employee Appreciation Week and holiday activities.

Requirements

  • Minimum 5 years in an executive assistant or similar role.
  • Attention to detail with excellent organizational skills.
  • Excellent verbal and written communication skills.
  • Ability to work independently.
  • Ability to multi-task and prioritize work in a fast-paced environment.
  • Ability to maintain confidentiality.
  • Demonstrated proficiency in Microsoft Office applications and an aptitude for learning new software and systems.

  • Bachelor or Associate's degree.
