About the position

As an Executive Assistant, you will play a crucial role in supporting the executive team of the company by managing a variety of administrative tasks and responsibilities. This position requires a high level of professionalism and the ability to handle sensitive information with discretion. You will report directly to a company executive and will be responsible for providing comprehensive administrative support, which includes scheduling meetings, managing communications, and coordinating travel arrangements. Your role will also involve supervising the reception staff and other assigned personnel, ensuring that the administrative functions of the office run smoothly and efficiently. In this position, you will be expected to create and assist with presentations, meeting agendas, and follow-up documents, as well as implement strategies that support the executive team’s objectives. You will need to prioritize your time and the time of the executive staff effectively, making administrative decisions and requests on behalf of the executives to facilitate complex calendar management. Proactive management of logistics for business group meetings and events will be a key responsibility, along with drafting executive communications that reflect professionalism and diplomacy. Additionally, you will be tasked with creating data management plans and utilizing advanced features of various software tools, including Google products, Smartsheet, and Microsoft tools, to manage data effectively. You will also manage vendor and business accounts related to office and facilities maintenance, organize team communications, and plan events both internally and offsite. This role may include additional duties as assigned, requiring flexibility and adaptability in a fast-paced work environment.

Responsibilities

  • Manage and provide highly competent administrative support to the company executive team, including scheduling, agendas, mail, emails, calls, travel and other company logistics
  • Create and assist with presentations, meeting agendas, follow-up documents and implementation strategies
  • Prioritize your time and the time of the Executive staff
  • Make administrative decisions and requests on behalf of the executive to provide complex calendar management
  • Proactively manage logistics for business group meetings and events
  • Draft executive communications with professionalism and diplomacy
  • Create data management plans and manage data using advanced features of Google products, Smartsheet, Microsoft tools, and other software
  • Manage numerous vendor and business accounts associated with office and facilities maintenance and support
  • Organize team communications and plan events, both internally and offsite
  • Perform additional duties as assigned

Requirements

  • To be 18 years of age or older
  • Authorization to work in the United States for this company
  • Bachelor's or Associate Degree with / or at least 5-10 years of proven experience
  • Previous experience with proven leadership success in a supervisory and/or managerial capacity as an Executive Assistant
  • Project management skills including planning, organizing and coordinating tasks
  • Successful completion of a pre-employment drug screen, background and motor vehicle records check, to include a valid D.L.
  • Reliability and punctuality are a must, with the ability to be available for rare, but occasional after hours business functions, along with weekend work/overtime as needed if dictated by business demands

  • Exceptional verbal and written communication skills
  • Bilingual in Spanish is a plus
  • Meticulous attention to detail and high level organizational skills
  • Extensive knowledge with proven experience administering construction contracts/subcontract agreements and administering insurance documents
  • Ability to work in a stress-free, but fast-paced environment
  • Experience in the construction industry is highly desirable
  • Positive attitude with the ability to represent and support the Executive team with the utmost level of confidentiality, poise and professionalism
