About the position

9fin is seeking a full-time Executive Assistant to provide comprehensive support to our Chief Executive Officer (CEO) and Chief Technology Officer (CTO). This role is pivotal in ensuring the smooth operation of our executive team, which operates across two time zones, with the CEO based in New York City and the CTO in London. The ideal candidate will be organized, resourceful, and possess a high level of attention to detail, as well as refined interpersonal skills and trustworthiness. The Executive Assistant will be responsible for managing calendars, coordinating meetings, and handling a high volume of emails, all while maintaining confidentiality and discretion in dealing with sensitive information. In this dynamic role, the Executive Assistant will maintain daily schedules, organize travel arrangements, prepare expense reports, and assist with various administrative tasks as needed. The position requires the ability to juggle multiple competing priorities in a fast-paced environment, demonstrating good judgment and the ability to interface effectively with employees and leaders at all levels. The candidate must be able to work autonomously, anticipate needs, and execute instructions with meticulous attention to detail. Responsibilities

  • Maintain calendars and daily schedules for the CEO and CTO, including organizing and coordinating internal and external meetings.
  • Organize and maintain multiple inboxes with a high volume of emails.
  • Communicate with internal leadership and external parties, including clients and board members.
  • Prepare expense reports, organize travel, and perform other administrative tasks as needed.
  • Handle confidential and sensitive information with discretion and maintain the highest level of confidentiality.
  • Work on ad-hoc projects as assigned.
