About the position

The Executive Assistant provides professional-level support for the President/COO and Senior Leadership Team at Palisades Tahoe. This specialized administrative role requires a high degree of accuracy, accountability, attention to detail, initiative, and confidentiality. The position involves considerable autonomy, with all work subject to review by the P/COO. It is an on-site role that plays a crucial part in maintaining the efficiency of the executive office and supporting various organizational initiatives.

Responsibilities

  • Maintaining the P/COO's appointment schedule by planning and scheduling meetings, conferences, and travel.
  • Conserving the P/COO's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating communications.
  • Contributing to SLT meetings by preparing the agenda and support materials, recording minutes, and providing relevant information.
  • Supporting the SLT in writing and delivering internal communications.
  • Overseeing the Community Relations and Philanthropy department and supervising the Social Responsibility Coordinator.
  • Participating in the annual resort budgeting and business planning process.
  • Responsible for development and fiscal oversight of the Executive and Philanthropy department budget.
  • Working independently on projects and initiatives assigned by the P/COO.
  • Serving as a communications link between the P/COO and both internal and external stakeholders.
  • Collaborating with Alterra Mountain Company peers, resort conference planners, and events team for onsite events and meetings.
  • Assisting any department with immediate needs during busy times.
  • Maintaining a warm, hospitable, and professional executive office environment.
  • Ordering general office supplies, maintaining electronic and hardcopy records, and organizing common areas in the executive suite.
  • Coordinating the coding and authorization of invoices, credit card statements, and expense reimbursements for payment.
  • Administering Alcoholic Beverage Control (ABC) applications for the resort.

Requirements

  • High School Diploma or GED required.
  • Three (3) years minimum experience supporting a senior level executive preferred.
  • A degree in Business Administration or equivalent preferred.
  • Excellent in-person, written, and phone communication skills.
  • Proactive attitude with the ability to drive for results and tackle challenges.
  • Ability to work with autonomy and exercise resourcefulness, problem-solving, and excellent judgment.
  • Strong organizational skills with the ability to juggle competing priorities and maintain composure under pressure.
  • Competent in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams, Sharepoint).

Nice-to-haves

  • Competent in resort systems including RTP, WorkDay, UKG, and MS D365.
  • Experience applying for ABC catering applications.
