About the position

Equinox is seeking an Executive Assistant to support the Chief People Officer and Chief Legal Officer. This role is pivotal in providing comprehensive support with a high level of professionalism and confidentiality. The ideal candidate will possess the ability to prioritize tasks, anticipate needs, think critically, and be solution-oriented in a dynamic and fast-paced environment. The Executive Assistant will be responsible for performing complex and confidential functions, which include developing written correspondence, preparing PowerPoint presentations, and responding to routine external correspondence. Additionally, the role involves typing memos, purchasing requisitions, payment requests, and other departmental forms, documents, and communications. A significant aspect of this position is heavy calendar management for two executives, along with assisting other members of the executive team as needed. The Executive Assistant will also arrange both domestic and international travel plans and itineraries, compiling necessary documents for travel-related meetings. Preparing expense reports through the Concur system and coordinating internal events are also key responsibilities. Maintaining confidentiality of all corporate, personnel, and research matters is crucial, as is the ability to perform special projects as assigned. Responsibilities

  • Perform complex and confidential functions including developing written correspondence and preparing PowerPoint presentations.
  • Respond to routine external correspondence and type memos, purchasing requisitions, payment requests, and other department forms.
  • Manage heavy calendar for 2 executives and assist other members of the executive team as needed.
  • Arrange both domestic and international travel plans and itineraries, compiling documents for travel-related meetings.
  • Prepare expense reports through the Concur system.
  • Coordinate and execute internal events.
  • Maintain confidentiality of all corporate, personnel, and research matters.
  • Perform special projects as assigned.

Requirements

  • Must possess a high level of integrity and discretion.
  • Experience supporting multiple senior level executives.
  • Advanced Microsoft Office skills including Word, Excel, PowerPoint, and Outlook.
  • Strong oral and written communication skills.
  • Knowledge of Concur expense reporting system preferred.
  • Ability to prioritize and plan work activities, using time efficiently.
  • Enthusiastic, energetic, personable, and friendly.
  • Experience executing ad hoc projects.
