About the position

The Executive Assistant at Roundglass will support the Founder/Partner by managing a variety of complex and confidential administrative tasks. This role is essential for ensuring smooth operations within the organization, requiring a proactive approach to anticipate needs and address challenges independently. The Executive Assistant will play a key role in maintaining communication with the leadership team and promoting the company's values, contributing to a positive company culture.

Responsibilities

  • Act as a trusted point of contact for the Founder/Partner, managing communications, meetings, and events.
  • Plan and schedule complex calendars across multiple time zones, resolving conflicts independently.
  • Negotiate and manage requests for the Founder/Partner's time from individuals or groups.
  • Maintain confidentiality while managing emails and sensitive information for the leadership team.
  • Independently prioritize and coordinate logistics for meetings and conferences, preparing agendas and transcribing minutes.
  • Make domestic and international travel arrangements, including accommodations and ground transportation.
  • Manage the flow of information into and out of the CEO's office, including correspondence and presentations.
  • Prepare expense reports and track business travel details.
  • Conduct daily updates with the CEO to review priorities and potential conflicts.
  • Assist or lead special projects as assigned.

Requirements

  • Bachelor's degree or equivalent combination of education and experience.
  • At least 8 years of related experience in project management and/or administrative support functions.
  • At least 5 years of executive assistant experience supporting C-Level executives.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Strong organizational skills and ability to solve complex scheduling issues.
  • Excellent communication skills across leadership teams and with external clients.
