About the position

The Executive Assistant position at TexasBank is a full-time role responsible for providing comprehensive administrative support to the Chief Financial Officer (CFO). This role involves performing complex and confidential administrative duties, which include managing the CFO's schedule, coordinating meetings, composing and typing correspondence, and maintaining confidential documents. The Executive Assistant will also be responsible for screening phone calls and visitors, ensuring that only relevant communications reach the CFO, and handling highly confidential matters with discretion. In this position, the Executive Assistant will assist in coordinating the CFO's daily priorities, appointments, and tasks, while also anticipating the needs of the CFO. This includes confirming, coordinating, and organizing corporate meetings, as well as reviewing and managing the CFO's calendar and deadlines. The role requires excellent organizational skills and the ability to adapt to changing priorities and schedules. The Executive Assistant will also be expected to perform other duties as assigned, which may include telephone relief for other staff members in the area. The working environment is an air-conditioned office, and the physical demands of the job include sitting for extended periods, as well as walking, standing, bending, squatting, twisting, and reaching. The position requires extended keyboarding and the ability to handle multiple tasks efficiently while maintaining a professional demeanor.

Responsibilities

  • Perform complete administrative and secretarial functions for the CFO.
  • Interpret and adapt guidelines, practices, and policies as necessary.
  • Assist in coordinating the CFO's daily priorities, appointments, calendar, tasks, meetings, and deadlines.
  • Review, coordinate, and anticipate the CFO's needs and tasks.
  • Confirm, coordinate, and organize corporate meetings.
  • Screen incoming visitors, phone calls, and communications for relevance and prioritization.
  • Screen the CFO's mail from outside and within the organization.
  • Assist with completing deadlines, creating documents, assignments, and gathering reports.
  • Initiate communication on behalf of the CFO.
  • Handle highly confidential matters with discretion.
  • Provide telephone relief for others in the area as necessary.
  • Perform other duties as assigned.

Requirements

  • High School diploma, GED, or equivalent.
  • 3-5 years of experience as an Executive or Corporate Assistant.
  • Excellent verbal and written communication skills.
  • Strong customer service skills.
  • Proficiency in Microsoft Office Applications including Excel, PowerPoint, and Word.
  • Professional, customer-focused, and organized.
