The role of Executive Assistant is critical in providing dedicated support to our CEO at Arine. This position requires a proactive, detail-oriented professional with exceptional organizational skills and the ability to handle sensitive information confidentially. The Executive Assistant will play a pivotal role in ensuring the CEO's productivity and effectiveness, managing schedules, coordinating travel, and facilitating seamless communication within and outside the organization. The ideal candidate will possess a minimum of 5 years of experience supporting C-level executives, preferably in a technology or fast-paced start-up environment, and will be responsible for managing the CEO's complex calendar, arranging travel itineraries, acting as the primary point of contact, preparing correspondence, and conducting research as needed.

Responsibilities

  • Manage the CEO's complex and dynamic calendar, including scheduling meetings, appointments, and conference calls
  • Arrange and coordinate domestic and international travel itineraries, accommodations, and logistics for the CEO
  • Act as the primary point of contact for the CEO, screening and prioritizing emails, phone calls, and other correspondence
  • Prepare and edit correspondence, communications, presentations, and other documents on behalf of the CEO
  • Assist in preparing agendas, materials, and presentations for meetings attended or led by the CEO
  • Conduct research and compile information as needed for various projects and initiatives
  • Handle confidential information with discretion and maintain strict confidentiality at all times
  • Anticipate the CEO's needs and proactively provide administrative support to enhance efficiency
  • Coordinate special projects and events as assigned by the CEO, ensuring deadlines and deliverables are met

Requirements

  • Minimum of 5 years of experience as an Executive Assistant supporting C-level executives, preferably in a technology or fast-paced start-up environments
  • Proven ability to manage complex calendars, coordinate extensive travel arrangements, and handle multiple priorities effectively
  • High level of integrity, professionalism, trustworthiness, and discretion in dealing with confidential information
  • Exceptional organizational skills and strong attention to detail
  • Excellent verbal and written communication skills, with the ability to interact effectively with internal and external stakeholders
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
  • Ability to work independently with minimal supervision, as well as collaboratively in a team environment
  • Strong problem-solving skills and the ability to anticipate needs and proactively address issues
  • Bachelor's degree or equivalent experience preferred
