About the position

As an Executive Assistant at a leading chemical distributor in Indianapolis, IN, you will play a crucial role in supporting the President and other executives within the organization. This position is designed for individuals who thrive in a fast-paced environment and are adept at managing a variety of administrative tasks. Your responsibilities will include composing, typing, and distributing correspondence and documents, handling confidential information, and facilitating internal communications. You will be responsible for arranging teleconferences, video conferences, and managing meeting rooms to ensure smooth operations within the executive team. In addition to communication tasks, you will coordinate meetings by preparing agendas and materials, reserving facilities, and scheduling travel for the President and other personnel. Managing the President's calendar and scheduling appointments will be a key part of your role, as will overseeing event planning for company parties and celebrations. You will also assist with trade shows, annual sales meetings, and other company events, ensuring that all logistics are handled efficiently. Your role will also involve acting as a backup to the receptionist and providing assistance to the Human Resources department. You will manage the company's cell phone and credit card programs, and perform additional duties as assigned. This position is ideal for someone who is organized, detail-oriented, and possesses strong communication skills, as you will be interacting with individuals at all organizational levels.

Responsibilities

  • Composing, typing, and distributing correspondence and other documents for the President and other executives.
  • Handling confidential information and communications.

  • Responding to or routing priority or confidential inquiries on behalf of the President and others.
  • Coordinating meetings, preparing agendas and materials, and reserving facilities.
  • Scheduling and coordinating travel for the President and other personnel.
  • Managing the President's calendar and scheduling appointments.
  • Overseeing event planning for company parties and celebrations.
  • Assisting with trade shows, annual sales meetings, and other company events.
  • Acting as a backup to the receptionist and assisting the Human Resources department.

  • Performing additional duties as assigned.

Requirements

  • High School Diploma or equivalent (Associate degree in Business Administration or related field experience preferred).
  • At least five (5) years of related work experience or equivalent.
  • Strong knowledge of Windows and MS Office, including Word, Excel, and PowerPoint.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as a member of various teams.
  • Effective interpersonal skills to deal with individuals at all organizational levels.
  • Strong organizational, problem-solving, and analytical skills.
  • Attention to detail.
