About the position

The Executive Assistant will provide comprehensive administrative support to enhance the efficiency of daily operations within the company, which specializes in housing issues. This role requires a detail-oriented individual with strong organizational and communication skills to manage various tasks, including scheduling, document preparation, and client communications, while maintaining confidentiality and discretion.

Responsibilities

  • Assist in day-to-day office operations, including scheduling meetings, managing emails, and handling phone communications.
  • Organize and maintain files, both electronic and physical, ensuring confidentiality and accuracy.
  • Handle sensitive information with discretion and confidentiality.
  • Help prepare and review documents related to housing consultations and client communications.
  • Track project timelines and deadlines and ensure timely completion of tasks.
  • Communicate with clients, tenants, landlords, and other clients professionally and courteously.
  • Provide general administrative support to ensure smooth workflow.
  • Efficiently multitask and pay attention to detail.
  • Adhere to deadlines and commit to long-term employment.
  • Report, calculate, and track business expenses.
  • Assist with small-scale personal support functions, such as errands (printing, scanning, post office, etc.).
  • Maintain an efficient filing system for documents.

Requirements

  • Proven experience in an administrative or support role.
  • Strong organizational skills with a keen attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to handle sensitive information with discretion.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and general computer skills.
  • A proactive attitude with the ability to work independently and with others.
  • Strong rhetoric and verbal skills.
  • Previous experience as an executive or administrative assistant is a plus.

Nice-to-haves

  • Experience in office administration for at least 1 year.
