About the position

The Executive Assistant will provide comprehensive administrative support to the Vice President of Health & Safety and the Vice President of Environmental, Social & Governance (ESG) at Ferguson. This role is crucial in ensuring the smooth operation of the executives' daily activities, requiring a flexible mindset to handle multiple tasks and priorities in a fast-paced environment. The position demands strong client service skills, confidentiality, and the ability to adapt to changing demands while maintaining a high level of professionalism.

Responsibilities

  • Provide quality support by anticipating needs and taking action to optimally handle daily responsibilities such as calendar scheduling, administration, expense reports, and travel planning.
  • Participate as an active administrative team member, working both independently and in partnership with team members to complete projects and assignments in a timely manner.
  • Assist with the planning of key meetings, including agenda preparation, logistics, meals, guest arrangements, and Teams for on-site and off-site events.
  • Prepare presentations and reports as requested, including PowerPoint, Excel, and Word documents.
  • Assist with managing projects for the team, including managing timelines and coordinating communication channels.
  • Gather and consolidate departmental information and data as needed, reporting back as required.
  • Attend department meetings to ensure knowledge of the full aspect of tasks.
  • Maintain and order assets such as computers, monitors, and phones.
  • Cooperate and coordinate with other administrative/executive assistants to ensure office support is available when away from the office.
  • Maintain confidentiality of critical information.
  • Perform other duties as assigned by management.

Requirements

  • Proven experience (5+ years) in a professional role, including Executive Assistant experience or equivalent skill sets.
  • A minimum of High School Diploma; a bachelor's degree is helpful.
  • Proficient in Microsoft applications, including Outlook, Word, Excel, PowerPoint, TEAMS, and One Drive.
  • Ability to write executive-level documents, memos, and presentations with strong attention to detail.
  • Strong verbal and written communication skills.
  • Ability to balance priorities from multiple sources and meet deadlines effectively.
  • Strong interpersonal skills to interact with various levels of management and build strong working relationships.
  • Organized self-starter with good judgment and flexibility to adapt to priority changes.
