About the position

The Executive Assistant will play a crucial role in supporting a top executive in the tech industry, providing comprehensive administrative support to ensure the smooth operation of the executive's office and the overall business. The ideal candidate will be an expert in executive administrative support, demonstrating a proactive and quick-moving approach to tasks. This position requires a 24/7 mindset, meaning the candidate must be prepared to handle requests and responsibilities at any time, ensuring that the executive is always well-prepared and informed. Key responsibilities include acting as a gatekeeper for the principal, managing their schedule, and ensuring they are aware of all appointments. The Executive Assistant will create meeting agendas, prepare materials for meetings, and assist with managing special projects. Travel management is also a significant part of the role, including booking travel and creating detailed itineraries. The candidate will be responsible for vendor relationship management, working closely with the family office and home support team to oversee vendors and ensure the home is always ready for visitors. Additionally, the Executive Assistant will organize and assist with event planning, oversee and submit detailed expense reports, and file and organize all financial documents and reports. Asset management will also be part of the responsibilities, requiring attention to detail and organizational skills to maintain accurate records.

Responsibilities

  • Provide appropriate and effective responses to all requests
  • Act as a gatekeeper for the principal
  • Ensure the principal is aware of all appointments and is fully prepared
  • Create meeting agendas and prepare meeting materials

Requirements

  • 5 years of experience in executive administrative support
  • Ability to commute to Menlo Park, CA
