About the position

The Executive Assistant position at the Oregon Department of Early Learning and Care is a permanent role that provides critical support to the Early Learning System Director and the Executive Leadership Team. This position is essential for managing communications, office operations, and administrative tasks, contributing to the agency's mission of supporting young children and their families in Oregon. The role requires a collaborative and innovative mindset, with a strong emphasis on equity in processes.

Responsibilities

  • Provide executive-level, confidential support to the Early Learning Systems Director and Executive Leadership Team.
  • Manage day-to-day office operations, policies, procedures, and programs of the Office of the Director.
  • Coordinate communications to and from the Director's Office.
  • Provide backup support to the Executive Leadership Team members and the Executive Officer to the Early Learning Council as needed.
  • Assist in the administration of department programs and operations.

Requirements

  • Four years of staff-level experience providing administrative support to management, including technical or analytical duties.
  • Experience in program or project planning, budget monitoring, or providing analytical information for management decision making.
  • A Bachelor's degree in Business Administration, Management, Public Administration, or a closely related field may substitute for up to two years of required experience.

Nice-to-haves

  • Proficiency in Microsoft applications such as Outlook, Word, PowerPoint, and Excel.
  • Ability to communicate effectively both orally and in writing with a variety of people.
  • Exceptional organizational skills and attention to detail.
  • Experience managing calendars and coordinating meetings or workshops.
  • Ability to handle sensitive situations with independent judgment.
