About the position

The Executive Assistant at Adoption Choices of Texas Inc. plays a crucial role in supporting the executive team by managing administrative tasks, facilitating communication, and ensuring the smooth operation of the office. This position requires a blend of executive administrative support and legal experience, particularly in a child placing agency context. The ideal candidate will be proactive, possess strong communication skills, and be comfortable working independently.

Responsibilities

  • Providing administrative assistance, including writing and editing emails, drafting memos and documents, and preparing communications on behalf of the executive.
  • Maintaining comprehensive and accurate records.
  • Performing minor accounting duties such as billing and invoicing.
  • Organizing meetings, including scheduling, sending reminders, and organizing events.
  • Organizing documents and placing them in a virtual server or other programs.
  • Communicating with social workers in the field.
  • Answering phone calls in a polite and professional manner.
  • Welcoming visitors and identifying the purpose of their visit.
  • Scanning and sorting mail.
  • Obtaining documents outside the office, such as making bank deposits or going to the post office.
  • Typing legal and professional documents for the agency.
  • Managing the executive's calendar, including making appointments and prioritizing sensitive matters.

Requirements

  • 5 years of executive administrative support experience.
  • Bachelor's degree or paralegal degree required.
  • Legal administrative experience in a law office is preferred.
  • Strong communication skills.
  • Experience in office management and senior-level paralegal duties.

Nice-to-haves

  • Spanish speaking is a plus.
  • Experience in a child placing agency is preferred.
