About the position

The Executive Assistant plays a crucial role in providing logistical support and office coordination to ensure the smooth operation of the organization. This position involves assisting the Chief Marketing Officer with various tasks, including travel arrangements, calendar management, and general office management, all within a fast-paced environment.

Responsibilities

  • Provide sophisticated calendar management, prioritizing inquiries and requests while troubleshooting conflicts.
  • Schedule internal and external meetings, preparing necessary materials and logistics.
  • Produce materials for meetings and conferences using Outlook, Word, Excel, and PowerPoint.
  • Facilitate complex national and international travel arrangements for the Chief Marketing Officer.
  • Accurately track and manage expenses for the Chief Marketing Officer, processing receipts on schedule.
  • Administer correspondence, manage incoming calls, and prioritize communications.
  • Take notes and distribute meeting minutes, agendas, and packages.
  • Provide comprehensive support services to the Chief Marketing Officer, ensuring a professional experience.
  • Maintain confidentiality and exercise discretion in all matters.
  • Organize and manage internal team events, overseeing logistics and budget.
  • Manage and oversee contractual and purchasing processes, including routing contracts and managing POs.

Requirements

  • High School diploma
  • Minimum of 7 to 10 years' experience as an Executive Assistant
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and SharePoint
  • Extensive experience coordinating international and domestic travel
  • Ability to work collaboratively in a team environment
  • Excellent communication skills, including presentation and negotiation skills
  • Strong organizational skills and ability to follow up systematically.

Nice-to-haves

  • Associate or higher degree in business/communications field
  • Knowledge in creation of forms and pamphlets
  • Project Management experience
