About the position

The Executive Assistant is a pivotal role within the organization, tasked with providing high-level administrative support to the C-Suite executives and assisting with various staff support functions. This position requires a proactive individual who can manage complex schedules, coordinate meetings, and handle travel arrangements efficiently. The Executive Assistant will be responsible for maintaining the executive calendars, ensuring that all appointments and meetings are organized and prioritized effectively. This includes not only scheduling but also preparing meeting materials, taking minutes, and following up on action items to ensure that all tasks are completed in a timely manner. In addition to calendar management, the Executive Assistant will be involved in developing presentations and supporting internal engagement initiatives. This role requires a strong ability to interact with various stakeholders, including internal team members, customers, and prospective job candidates. The Executive Assistant will also be responsible for creating and maintaining filing systems, both electronic and paper-based, to ensure that all documents are organized and easily accessible. The position demands a high level of independence, as the Executive Assistant will handle projects and assignments that require sound judgment and problem-solving skills. The ability to manage complex travel arrangements, including booking flights, accommodations, and transportation, is essential. Furthermore, the Executive Assistant will prepare accurate expense reports and provide backup assistance to other administrative staff as needed. This role is crucial for ensuring the smooth operation of the executive team and requires a detail-oriented individual who can thrive in a fast-paced environment.

Responsibilities

  • Managing all aspects of complex travel including trains, flights, rooms, and vehicles.
  • Planning meetings, creating/editing meeting materials, and managing meeting logistics.
  • Interacting with internal team members as well as customers and prospective job candidates.
  • Developing and revising documents and presentations.
  • Creating electronic and/or paper filing systems and maintaining them.
  • Project execution in support of the executives.
  • Screening and answering phone calls.
  • Preparing accurate expense reports with required documentation.
  • Providing backup assistance for the other administrative office staff.
  • Performing additional administrative tasks as requested.

Requirements

  • Bachelor's degree or equivalent experience.
  • At least 5 years of related work experience.
  • Proficient in MS Office (Word, Outlook, Excel, PowerPoint).
  • Fluent in reading, writing, and speaking English.
  • Ability to handle projects independently.
  • Open to occasional travel.
