About the position

Haddad Brands is seeking an Executive Assistant to support a top-level Senior Executive within the organization. This role is crucial for ensuring the smooth operation of the executive's department and daily business activities. The Executive Assistant will be responsible for a variety of administrative tasks that are essential for the effective management of the executive's schedule and responsibilities. This includes managing the executive's calendar, scheduling meetings, and handling incoming calls and correspondence. The ideal candidate will be proactive in anticipating the needs of the Senior Executive and will manage both professional and personal requests as necessary. In addition to calendar management, the Executive Assistant will be tasked with booking and managing travel arrangements, which includes creating detailed itineraries, submitting visa applications, and arranging car services for both domestic and international travel. The role also involves facilitating communication between the Senior Executive and other managers and employees, ensuring that all parties are informed and aligned on key initiatives and projects. The Executive Assistant will process expense reports and compile departmental reports as required, contributing to the overall efficiency of the department. This position requires a consistent in-office presence, as it is vital for the Executive Assistant to have a full appreciation of the qualities that define the brand partners' products. The role may also involve special projects as assigned, providing an opportunity for the Executive Assistant to engage in various initiatives that support the company's objectives.

Responsibilities

  • Support the Senior Level Executive with all administrative tasks including calendar management, scheduling meetings, and answering incoming calls and correspondence.
  • Book and manage domestic and overseas travel arrangements, including creating itineraries, submitting visa applications, and arranging car services.
  • Facilitate smooth communication between the executives and other managers and employees.
  • Process expense reports and compile departmental reports as required.
  • Manage professional and personal contacts for the Senior Executive.
  • Anticipate Senior Executive's needs and proactively manage them.
  • Manage personal requests as needed.
  • Assist with special projects as assigned.

Requirements

  • Bachelor's Degree
  • Prior internships and/or related experience required
  • Excellent organizational and communication skills with attention to detail
  • Ability to multi-task and prioritize in a fast-paced environment
  • Proficient in Microsoft Office
  • Ability to remain professional and confidential at all times
