About the position

City Wide Facility Solutions Cincinnati & Dayton is looking for a highly organized and trusted Executive Assistant to provide top-level administrative support to our President & CEO. This role is critical in managing communication, scheduling, and operations across our Cincinnati and Dayton locations. Responsibilities

  • Manage the President’s calendar, meetings, and priorities to ensure seamless daily operations.
  • Serve as a liaison between the President and Directors/Managers.
  • Prepare, review, and edit correspondence, reports, and key documents.
  • Actively engage on LinkedIn to build and maintain business relationships.
  • Support insurance audits, quality control reports, and administrative functions.
  • Assist with office management tasks, including supply ordering and visitor coordination.
  • Maintain a high level of confidentiality in all professional and personal matters.
  • Act as a bridge between IT support and office users for tech-related needs.
  • Take notes and record minutes for important meetings.

Requirements

  • Strong organizational, communication, and problem-solving skills.
  • Ability to multi-task, prioritize, and meet tight deadlines.
  • Proficiency in Microsoft Office Suite and business correspondence.
  • Detail-oriented with a high level of accuracy and confidentiality.
  • Proactive and solutions-focused mindset.
  • Associate's degree or equivalent experience (Bachelor's degree preferred).
  • 2-4 years of executive support experience in a high-performing environment.
  • Ability to travel locally.
  • Prior experience preparing reports, business presentations, and data entry.
  • Excellent organizational skills.
  • Ability to work with highly confidential information and work independently.
