The Executive Assistant will provide high-level administrative support to the Director of Finance and the Director of Human Resources, ensuring the efficient operation of their functions. This role involves managing schedules, coordinating meetings, handling correspondence, and performing various administrative tasks to support these Directors and enhance productivity. The position requires a high degree of confidentiality and discretion. Key responsibilities include calendar management, where the Executive Assistant will schedule and organize meetings, appointments, and events. Communication support is also crucial, including drafting and editing correspondence and managing email correspondence on behalf of the Directors while maintaining strict confidentiality. The role also involves travel coordination, arranging travel itineraries, accommodations, and transportation for the Directors. Information management is another critical aspect, as the Executive Assistant will organize and maintain functional information, files, and documents to ensure easy access and retrieval. Meeting administration includes coordinating and managing logistics for functional meetings, including agenda preparation, meeting materials distribution, and post-meeting follow-up. The Executive Assistant will also prepare reports, presentations, and other documents as needed for the finance and human resources departments, safeguarding sensitive information. Additionally, the Executive Assistant will assist project teams in the timely completion of projects related to finance and human resources, ensuring deadlines are met. Budget management is also part of the role, where the Executive Assistant will manage and maintain budgets for projects and functional expenditures. The position requires actively seeking and implementing constant improvement of functional processes, including exploring new technologies for increased effectiveness, and organizing meetings, conferences, and events.
