About the position

The Executive Assistant position is a critical role within a growing, innovative high-tech start-up firm. This position is designed for a well-organized and intuitive individual who possesses a keen eye for detail and thrives in a fast-paced team environment. The primary responsibility of the Executive Assistant will be to support a C-level executive, ensuring that their administrative needs are met efficiently and effectively. In addition to providing direct support to the executive, the Executive Assistant will also offer backup support to other executives as needed, making this a versatile and dynamic role. Key responsibilities include scheduling appointments, arranging meetings, and managing all travel itineraries for the executive. The Executive Assistant will also be tasked with planning and organizing company events, activities, and board meetings, which requires strong organizational skills and the ability to manage multiple tasks simultaneously. Handling confidential executive correspondence is another essential duty, necessitating a high level of discretion and professionalism. The role also involves screening telephone calls, mail, and visitors to determine the nature of business, exercising sound judgment in referring them to the appropriate source. The Executive Assistant will compile, evaluate, and assemble data and information for various reports, manuals, and correspondence, showcasing their analytical skills. Additionally, creating, editing, and proofreading business communications and documents on behalf of the executives using MS Word, Excel, and PowerPoint is a significant part of the job. The ability to create effective and professional presentations is also required, along with the flexibility to take on special projects as needed.

Responsibilities

  • Schedule appointments, arrange meetings and handle all travel itineraries

  • Compile, evaluate and assemble data/information for a variety of reports, manuals, and correspondence

  • Assist with special projects as needed

Requirements

  • At least 3-5 years of experience as an executive assistant (C-level support highly preferred)
  • Bachelor's degree in office administration or a related field highly preferred
  • Ability to recognize and appropriately handle highly sensitive and confidential material and information
  • Advanced written and verbal communication skills with a strong command of grammar and punctuation
  • Ability to interact with all levels of staff in a professional manner
  • Meticulous attention to detail and organizational skills
  • Ability to maintain confidentiality and discretion
