About the position

The Personal Assistant to the President provides high-level personal and administrative support, ensuring the smooth management of the president's personal and professional affairs. This role requires a detail-oriented individual who can manage a range of responsibilities while maintaining discretion and confidentiality. The assistant will work closely with the president's executive assistant and must be adaptable to transition between personal tasks and executive-level support as needed.

Responsibilities

  • Manage the president's personal schedule, including appointments, family events, travel arrangements, and personal errands.
  • Coordinate household management tasks such as liaising with vendors and organizing personal projects.
  • Assist with scheduling family activities and appointments.
  • Handle day-to-day errands such as dry cleaning, grocery shopping, and vehicle maintenance.
  • Assist with personal communications, including managing personal email accounts and drafting correspondence.
  • Plan and organize personal travel, including booking flights and hotels.
  • Manage invitations, RSVPs, and venue bookings for personal events.
  • Schedule personal health and wellness appointments.
  • Act as a gatekeeper for personal requests, ensuring the executive's personal time is well managed.
  • Check and manage emails, ensuring timely responses or flagging important messages for follow-up.
  • Provide executive-level support when needed, such as attending meetings and preparing reports.
  • Collaborate with the executive assistant to ensure seamless communication and task management.
  • Organize and maintain both personal and business files and documents.
  • Assist with expense tracking and budget management.
  • Perform research on behalf of the president for personal or executive projects.

Requirements

  • Proven experience as a personal assistant, executive assistant, or in a similar role.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Discretion and confidentiality are essential.
  • Proficiency in Microsoft Office Suite and email management tools.
  • Ability to adapt and switch between personal and executive-level tasks.

Nice-to-haves

  • Previous experience in providing support to senior executives or high-level management.
  • Experience in construction, development, and/or real estate management setting preferred.
  • Strong problem-solving skills and the ability to handle sensitive matters with diplomacy.
  • Experience coordinating travel and managing household vendors.
