About the position

The Gathering Spot is seeking an Executive Assistant to provide essential administrative support to our leadership team in our Atlanta office. This role is crucial for ensuring the smooth operation of our executive functions, including meeting coordination, event planning, travel arrangements, and expense reporting. The ideal candidate will be highly organized, possess exceptional administrative skills, and be a collaborative team player capable of working effectively with employees at all levels of the organization. In this position, the Executive Assistant will provide high-level administrative support to the CEO & Co-founder and CFO & Co-founder. Responsibilities will include performing clerical tasks such as drafting letters, memos, and reports, as well as managing the calendars of senior staff. The Executive Assistant will also schedule and attend meetings on behalf of executives, taking notes and recording minutes to ensure accurate documentation of discussions. The role requires the ability to receive and manage incoming communications, summarizing and distributing content to the appropriate staff members. Additionally, the Executive Assistant will spearhead special projects as directed by senior leadership, manage travel arrangements, and create detailed itineraries with a focus on expense management. Other office tasks will include maintaining records, ordering supplies, and performing various administrative duties as assigned by executives. This position is dynamic and may involve additional responsibilities as the needs of the organization evolve.

Responsibilities

  • Provides high-level administrative support and assistance to the CEO & Co-founder and CFO & Co-founder.
  • Performs clerical and administrative tasks including drafting letters, memos, reports, and active calendar management for senior staff.
  • Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
  • Receives incoming communication or memos on behalf of senior staff, reviews content, determines importance, and summarizes and/or distributes content to appropriate staff.
  • Spearheads special projects under the direction of senior leadership.
  • Procures travel arrangements and creates travel itineraries with an expense management focus.
  • Performs office tasks including maintaining records, ordering supplies, and performing basic office tasks.
  • Performs additional duties as assigned by executives.

Requirements

  • Bachelor's degree in Business or related field is required.
  • Minimum of three years of experience supporting an executive or senior leadership strongly preferred.
  • Excellent communication/organizational skills with keen attention to detail & ability to multi-task.
  • Creative problem solving and practical time management skills.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Ability to work nights & weekends.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
  • Ability to maintain the highest level of confidentiality & professionalism.
