The Secretary of State's Office, Political Reform Division is excited to announce the opening for a permanent, full-time Executive Assistant position. This role is pivotal in supporting the Division Chief and the supervisory and analytical staff within the division. As an Executive Assistant, you will engage in a variety of administrative tasks that are essential for the smooth operation of the division. In this role, you will operate under the general direction of the Political Reform Division Chief, providing comprehensive administrative and secretarial support. Your responsibilities will include keeping management informed of current issues, developing and maintaining a system for planning, tracking, and monitoring Division projects, and assisting in budget monitoring by tracking invoices. You will also perform research in preparation for meetings, coordinate and attend meetings while preparing minutes, maintain the Chief's calendar, arrange travel, track and order supplies, draft correspondence, and serve as the attendance coordinator. Additionally, you will review and prioritize incoming telephone calls and maintain administrative and correspondence files.
