About the position

The Secretary of State's Office, Political Reform Division is excited to announce the opening for a permanent, full-time Executive Assistant position. This role is pivotal in supporting the Division Chief and the supervisory and analytical staff within the division. As an Executive Assistant, you will engage in a variety of administrative tasks that are essential for the smooth operation of the division. This position offers a unique opportunity to enhance your organizational and communication skills while working within a dynamic team dedicated to promoting transparency in campaign finance and lobbying processes. In this role, you will operate under the general direction of the Political Reform Division Chief, providing comprehensive administrative and secretarial support. Your responsibilities will include keeping management informed of current issues, developing and maintaining a system for planning, tracking, and monitoring Division projects, and assisting in budget monitoring by tracking invoices. You will also perform research in preparation for meetings, coordinate and attend meetings while preparing minutes, maintain the Chief's calendar, arrange travel, track and order supplies, draft correspondence, and serve as the attendance coordinator. Additionally, you will review and prioritize incoming telephone calls and maintain administrative and correspondence files. Responsibilities

  • Provide administrative and secretarial support to the Division Chief and staff.
  • Keep management informed of current issues and developments.
  • Develop and maintain a system for planning, tracking, and monitoring Division projects.
  • Track invoices and assist in monitoring the Division budget.
  • Perform research in preparation for meetings and coordinate meeting logistics.
  • Attend meetings and prepare minutes for documentation.
  • Maintain the Chief's calendar and make travel arrangements.
  • Track and order supplies as needed for the division.
  • Draft correspondence and serve as attendance coordinator.
  • Review and prioritize incoming telephone calls and maintain administrative files.

Requirements

  • Ability to exercise a high degree of initiative and independence of action.
  • Strong analytical abilities and attention to detail.
  • Proficient in Microsoft Word, Excel, PowerPoint, Outlook, and Teams.
  • Ability to work well under pressure and handle changing priorities.
  • Strong organizational skills and solid written and verbal communication skills.
  • Ability to establish and maintain effective working relationships.
  • Excellent customer service skills and attendance record.
