Our client, a nonprofit organization dedicated to enabling seniors to successfully age in place with access to high-quality, affordable health and support services, is seeking an Executive Assistant. This role is crucial in supporting multiple entities through a variety of functions and projects. The Executive Assistant (EA) will provide administrative support to the Chief Medical Officer (CMO) and Chief Financial Officer (CFO), ensuring regulatory compliance and facilitating communication across the organization. The EA must manage projects independently, handle confidential matters discreetly, and anticipate the needs of the executives while addressing unforeseen developments. This position also serves as a backup for the contracts management process. Key responsibilities include managing complex calendars, scheduling appointments, and coordinating high-volume internal and external meetings via platforms like Zoom and Teams. The EA will meticulously arrange domestic and international travel for executives, reconcile credit card expenses, and prepare reports to meet month-end deadlines. Additionally, the EA will manage the Patents and Publications Committee, ensuring all external presentations or publications are reviewed and approved, while providing analytics to management as needed. The ideal candidate will demonstrate strong time management skills, the ability to multitask, and the capacity to handle pressure while meeting deadlines. They will also provide logistical assistance for executive events and collaborate with various administrative teams to ensure smooth operations across the organization. The role requires a proactive approach to managing the needs of the CMO and CFO, keeping them informed and prepared for their commitments and responsibilities.
