About the position

Our client, a nonprofit organization dedicated to enabling seniors to successfully age in place with access to high-quality, affordable health and support services, is seeking an Executive Assistant. This role is crucial in supporting multiple entities through a variety of functions and projects. The Executive Assistant (EA) will provide administrative support to the Chief Medical Officer (CMO) and Chief Financial Officer (CFO), ensuring regulatory compliance and facilitating communication across the organization. The EA must manage projects independently, handle confidential matters discreetly, and anticipate the needs of the executives while addressing unforeseen developments. This position also serves as a backup for the contracts management process. Key responsibilities include managing complex calendars, scheduling appointments, and coordinating high-volume internal and external meetings via platforms like Zoom and Teams. The EA will meticulously arrange domestic and international travel for executives, reconcile credit card expenses, and prepare reports to meet month-end deadlines. Additionally, the EA will manage the Patents and Publications Committee, ensuring all external presentations or publications are reviewed and approved, while providing analytics to management as needed. The ideal candidate will demonstrate strong time management skills, the ability to multitask, and the capacity to handle pressure while meeting deadlines. They will also provide logistical assistance for executive events and collaborate with various administrative teams to ensure smooth operations across the organization. The role requires a proactive approach to managing the needs of the CMO and CFO, keeping them informed and prepared for their commitments and responsibilities.

Responsibilities

  • Provide administrative support for the CMO and CFO, ensuring regulatory compliance and facilitating communication.
  • Manage multiple complex calendars, scheduling and adjusting appointments in a dynamic environment.
  • Coordinate high-volume internal and external meetings via Zoom and Teams.
  • Arrange complex domestic and international travel for executives and team members.
  • Reconcile executive credit cards and prepare expense and timekeeping reports.
  • Manage the Patents and Publications Committee, reviewing and approving external presentations or publications.
  • Prioritize and manage conflicting needs, demonstrating strong time management skills.
  • Handle sensitive information with professionalism and confidentiality.
  • Assist with office-related administrative projects and collaborate with administrative teams.
  • Troubleshoot minor IT tasks related to conference call and video conferencing units.
  • Provide logistical assistance with executive events and local errands/travel.
  • Assist compliance consultant with updating active research projects spreadsheet and scheduling compliance meetings.

Requirements

  • Bachelor's degree and at least 10 years of experience as an executive assistant, including a minimum of 5 years supporting a C-level executive.
  • Demonstrated track record of success in executive administrative support.
  • Experience in the healthcare industry is ideal.
  • Proven ability to manage complex calendars and travel arrangements with attention to detail.
  • Outstanding verbal, interpersonal, and written communication skills.
  • Experience in a multi-entity environment is preferred.
  • Proficiency in Microsoft Office Suite and project management tools.
