About the position

The Executive Assistant at the University of North Carolina Wilmington provides high-level administrative support to the Chief Information Officer (CIO) within the Information Technology Services unit. This role is critical in managing the CIO's schedule, coordinating special projects, and ensuring effective communication within the department and with external stakeholders. The Executive Assistant is expected to handle confidential information, analyze data, and facilitate meetings, while also supervising student workers and assisting with human resource-related tasks.

Responsibilities

  • Provide confidential executive-level administrative support to the Chief Information Officer (CIO).
  • Coordinate scheduling and manage the CIO's calendar.
  • Oversee and provide updates on special projects and operations affecting program activities.
  • Analyze data and solve problems related to office activities.
  • Delegate tasks to subordinates and interact with various internal and external agencies.
  • Create agendas, take minutes, and follow up on action items from management team meetings.
  • Assist with administrative support for campus committees, including scheduling and reporting.
  • Research information and integrate it into reports and departmental guides as requested by the CIO.
  • Assist the IT Business Officer with human resource-related matters, including scheduling interviews.
  • Coordinate and manage ITS keys and meeting spaces.

Requirements

  • High school diploma or equivalency and three years of progressively responsible administrative/office management experience.
  • Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience.
  • Bachelor's degree, preferably in business administration or a related discipline, or equivalent combination of training and experience.
  • Proficiency with Microsoft Office products.
  • Exceptional verbal and written communication skills with a collaborative style.
  • Knowledge of IT terminology and contracts.
  • Ability to work independently and manage multiple priorities effectively.
  • Ability to handle situations with tact and discretion, adhering to confidentiality standards.

Nice-to-haves

  • Experience managing projects.
  • Experience synthesizing information for presentation purposes.
  • Familiarity with SharePoint and Visio.
