You will provide comprehensive administrative support to various departments and managers, ensuring that all tasks are executed efficiently and with the highest level of professionalism. Your role will involve a blend of clerical, receptionist, and project-based work, all aimed at maintaining our company's reputation for excellence.

Responsibilities

  • Oversee all aspects of general office coordination to ensure a seamless work environment.
  • Engage with all levels of staff, clients, vendors, and visitors in a professional and courteous manner.
  • Handle all client, staff, and departmental information with the utmost discretion and confidentiality.
  • Perform a wide range of clerical duties including copying, faxing, scanning, mailing, and filing, ensuring that all documents are organized and managed in a confidential manner.
  • Answer telephones with excellent etiquette, transferring calls to the appropriate staff members, and manage the distribution of incoming mail and packages.
  • Manage office supply orders to keep our operations running smoothly.
  • Maintain office calendars, coordinating workflows, meetings, and travel arrangements with precision.
  • Assist with the planning and coordination of staff travel arrangements, ensuring all details are handled with care.
  • Embrace a variety of other duties as assigned, showcasing your ability to adapt and manage multiple tasks.

Requirements

  • A High School Diploma is required; some college coursework is preferred.
  • 3-5 years of hands-on clerical experience, with a demonstrated ability to handle a variety of tasks efficiently.
  • Proficiency in Microsoft Office, specifically Word, Excel, and PowerPoint, is essential.
  • Excellent verbal and written communication skills, coupled with a keen attention to detail.
  • Ability to multi-task in a fast-paced environment and quickly adapt to changing priorities.
