About the position

Faith Comes By Hearing is seeking an experienced and highly organized Executive Assistant to provide proactive support to several members of our executive leadership team. This role requires a unique ability to manage multiple schedules, initiatives, and presentations while exercising sound judgment and delegated authority. The ideal candidate will have a broad view of how FCBH departments work together and will leverage their administrative strengths to effectively serve our leadership team. The Executive Assistant will be responsible for providing administrative support to multiple members of the executive leadership team simultaneously. This includes scheduling meetings, anticipating future needs, coordinating travel, researching complex requests, preparing presentations, and assisting with projects that represent multiple departments. The role also involves completing a broad variety of administrative tasks, such as solving scheduling conflicts, serving as a delegated voice for key initiatives, managing calendars and appointments, and planning events and special assignments. In addition, the Executive Assistant will have delegated authority to approve timesheets, time-off requests, and recovery days for multiple departments through the UKG Ready time-keeping system and Monday.com. The position requires collaboration with the COO, CFO, Donor Development, Data teams, and multiple field teams to coalesce data, reports, and create presentations that represent the ministry's priorities. The Executive Assistant will also handle sensitive ministry, language, and personnel data as requested and be involved in sensitive discussions. The role includes providing department-level administrative support to the Global Partnerships (GP), Language Recording (LRD), and Oral Bible Translation (OBT) departments, including coordination of various projects, spreadsheets, and products. The Executive Assistant will create needed spreadsheets, templates, and systems to ensure efficiency, run reports and queries as needed for staff and leadership, and help design and create a variety of presentations for different audiences, including internal staff, global staff, board meetings, and partners. Additionally, the Executive Assistant will assemble visitor schedules, communicate, and provide excellent hospitality while hosting visitors, being sensitive to overseas visitor needs and requirements. The role also involves maintaining a stock of blank devices and adding requested languages, videos, and APKs to them for demos, VIP guests, and samples. The Executive Assistant will serve as a “go to” for other department heads and leadership seeking information or direction regarding FCBH's global work and will act as a key spokesperson regarding the current and growing FCBH device ecosystem. Travel may be required with Executive team members to assist in presentations related to assigned duties. The candidate should seek opportunities to grow in knowledge and improve processes and systems that support the ministry.

Responsibilities

Requirements

  • Minimum 3 years experience in a position requiring strong administrative and interpersonal skills.
  • Highly organized and flexible, able to handle multiple demands and competing priorities.
  • Ability to learn new information quickly and understand complex concepts and relationships.
  • Reliable and consistent in making effective, timely decisions, even in uncertainty.
  • Very strong interpersonal skills and the ability to build relationships with staff and partners.
  • Excellent written and verbal communication skills.
  • Ability to work constructively under stress and pressure and in ambiguous situations.
  • PC proficiency in MS Word, Excel, Calendars, Outlook, Google Docs & sheets, and online file management/storage such as Dropbox.
  • Familiarity with MS Access is a plus.
