About the position

As a dedicated Executive Assistant at USAA, you will play a crucial role in providing administrative support to members of the Executive Management Group (EMG). This position is essential for ensuring that day-to-day activities are coordinated effectively and that EMG members are well-prepared for their responsibilities. You will be based in the San Antonio, TX home office, and the role requires you to be in the office four days a week. While relocation assistance is not available for this position, the flexible work environment allows for a balance between professional and personal commitments. In this role, you will coordinate activities and ensure timely information flow for the EMG members you support. Your responsibilities will include prioritizing and organizing work to meet deadlines across multiple tasks, preparing and updating presentations, reports, and spreadsheets, and reviewing data content for accuracy and compliance with established standards. You will manage the schedules of EMG members, providing comprehensive administrative support, which includes managing emails, maintaining calendars, and ensuring appropriate record retention. Additionally, you will handle department calls and emails, compose correspondence, and maintain a filing system for key documents. Your role will also involve preparing correspondence and reports for the EMG, ensuring that all data exchanged is treated with the utmost confidentiality. You will be responsible for maintaining travel and expense reporting, as well as identifying, measuring, monitoring, and controlling risks associated with business activities in accordance with risk and compliance policies and procedures.

Responsibilities

  • Coordinates activities and ensures timely information flow for EMG members supported.
  • Prioritizes and organizes work for EMG members to meet deadlines on multiple tasks.
  • Prepares and updates presentations, reports, and spreadsheets for EMG members and assigned area.
  • Reviews data content and presentation method for accuracy and compliance with standards.
  • Manages EMG members' schedule and provides administrative support to assigned EMG.
  • Routes department calls and e-mail to appropriate staff members.
  • Composes e-mails, letters and memorandums.
  • Maintains filing system for key documents.
  • Prepares correspondence and reports for EMG supported.
  • Ensures data to and from EMG members are treated with appropriate level of confidentiality.
  • Maintains travel and expense reporting.
  • Ensures risks associated with business activities are effectively identified, measured, monitored, and controlled.

Requirements

  • High School Diploma or General Equivalency Diploma required.
  • 4 years directly related work experience.
  • Advanced knowledge of spreadsheets, data retrieval, and word processing and presentation software.
  • Demonstrated experience with calendar management and/or prioritizing tasks in a fast-paced environment.
  • Ability to effectively build strong relationships and work with all levels within the organization.
  • Excellent oral and written communication skills with a high degree of accuracy and attention to detail.

Nice-to-haves

  • Extensive experience with an array of administrative skills (e.g. managing email/calendars, coordinating meetings, expense management, employee events, executive communication, etc).
  • Experience supporting executives that are in-person and remote.
  • Demonstrated ability to problem solve, show initiative, anticipate needs and implement precisely and timely.
  • Advanced proficiency with Microsoft Office applications (Excel, Word, Power Point).
  • Experience coordinating meetings using virtual remote meeting media & technology (i.e. Zoom).
  • Experience with planning, organizing and executing team events.
  • Desire for continued learning and growth.
  • Strong proficiency with Concur.
  • Flexibility with work schedule and willingness to work OT.
  • US military experience through military service or a military spouse/domestic partner.
