About the position

The Corporate Inventory and Administrative Specialist plays a pivotal role in ensuring the seamless operation of our corporate office while maintaining optimal inventory levels across our store locations. This dynamic position requires a highly autonomous individual capable of managing daily office functions and inventory logistics. As the heart of our corporate operations, you will be responsible for a range of duties, from inventory management to administrative support, ensuring both our office and stores are efficiently managed. In this role, you will oversee and manage inventory levels across all store locations, ensuring timely and accurate orders, deliveries, and stock replenishments. You will conduct weekly inventory audits and address any discrepancies or mismatches, collaborating with store managers to resolve issues. Utilizing inventory management software, you will monitor stock levels, generate reports, and forecast inventory needs. Additionally, you will develop and improve inventory workflows, ensuring adherence to company SOPs and enhancing efficiency. On the administrative side, you will coordinate daily operations of the corporate office, including opening procedures, mail handling, guest reception, and general office upkeep. You will maintain office supplies, snacks, and cleanliness standards, ensuring a well-functioning and welcoming environment. Supporting corporate meetings will also be part of your responsibilities, including setup, note-taking, and follow-up on action items to ensure smooth execution. You will handle various administrative tasks such as scheduling, invoice retrieval, document scanning, and coordination of pest control and maintenance services. This position also involves cross-functional collaboration, where you will work closely with department heads and store managers to support office needs and ensure seamless inventory management and operational support. You will communicate effectively with all stakeholders to facilitate smooth coordination between the corporate office and store locations. Furthermore, you will proactively identify opportunities to improve existing workflows and develop new processes to enhance operational efficiency, providing input on SOP revisions and contributing to the continuous improvement of company operations.

Requirements

  • Proven experience in inventory management, office administration, or a related field.
  • Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
  • Excellent communication and interpersonal skills, with a focus on collaboration.
  • Proficiency in using Google Suite; experience with inventory management software is a plus (training will be provided).
  • Ability to work independently, think on your feet, and make informed decisions.
  • Detail-oriented with a strong focus on accuracy and compliance.
