About the position

The Executive Assistant at Solidarity Center plays a crucial role in supporting the Executive Management Team, primarily the Executive Director. This position is responsible for ensuring the smooth operation of the Executive Office, managing correspondence, scheduling, and logistics for meetings and travel. The ideal candidate will be highly organized, detail-oriented, and possess strong communication skills to interact with senior management and various stakeholders in the labor movement and NGO community.

Responsibilities

  • Maintain the Executive Director's calendar and schedule meetings.
  • Coordinate schedules with senior management and other staff.
  • Manage the organizational calendar to avoid conflicts with meetings and events.
  • Prepare and distribute meeting agendas, materials, and notes.
  • Handle incoming correspondence for the Executive Director, including emails and phone calls.
  • Book and manage travel logistics for the Executive Office and Executive Team personnel.
  • Prepare and reconcile travel expense reports.
  • Organize Board of Trustees meetings and maintain related files.
  • Conduct topical research as requested and fill in for other administrative teams as needed.

Requirements

  • Bachelor's degree in a related field or equivalent experience.
  • Five years of executive office or similar experience.
  • Strong computer literacy and editing skills.
  • Excellent written and oral communication skills.
  • Ability to manage multiple tasks and projects effectively.
  • Tact, diplomacy, and sound judgment in interactions with others.

Nice-to-haves

  • Fluency in a second language is desirable.
