About the position

The Executive Assistant at SERVPRO of Columbia County plays a crucial role in providing administrative support to executives and other leadership staff within the company. This position is essential for ensuring that the executives can focus on their strategic responsibilities while the Executive Assistant manages the day-to-day administrative tasks. The Executive Assistant will be responsible for scheduling and managing calendars and agendas for executives, which includes organizing meetings, travel arrangements, and other activities that require coordination and attention to detail. In addition to scheduling, the Executive Assistant will handle communication tasks such as drafting, reviewing, and sending emails, letters, memos, and other documents on behalf of the executives. This role also involves organizing meetings by gathering necessary documents, taking notes, and recording minutes to ensure that all relevant information is captured and communicated effectively. Travel arrangements are another key responsibility, where the Executive Assistant will arrange travel and accommodations for executives, including transportation and meals. Managing the flow of information to executives is critical, which includes prioritizing emails and responding to inquiries when necessary. The Executive Assistant will also perform various clerical tasks such as typing, dictation, spreadsheet creation, faxing, and filing. Researching and organizing data, as well as compiling expense reports, are also part of the job. Confidentiality is paramount in this role, as the Executive Assistant will be privy to sensitive information and must adhere to company policies and procedures. Other duties may be assigned as needed, making this a dynamic and multifaceted position.

Responsibilities

  • Scheduling and managing calendars and agendas for executives, including meetings, travel, and other activities.
  • Drafting, reviewing, and sending emails, letters, memos, and other documents for executives.
  • Organizing meetings, gathering documents, and taking notes and minutes.
  • Arranging travel and accommodations for executives, including transportation and meals.
  • Managing the flow of information to executives, including prioritizing emails and responding when necessary.
  • Performing clerical tasks such as typing, dictation, spreadsheet creation, faxing, and filing.
  • Researching and organizing data, and compiling expense reports.
  • Maintaining confidentiality and adhering to company policies and procedures.
  • Performing all other duties as assigned.

Requirements

  • Strong communication skills.
  • Proficiency in Microsoft Excel.
  • Understanding of mid-level accounting principles.
  • Familiarity with QuickBooks is preferred but can be trained onsite.
  • Budgeting knowledge is a must.
