About the position

The Miccosukee Tribe of Indians of Florida is currently seeking a highly organized and proactive Executive Assistant to provide exceptional and comprehensive support to our Chief Operating Officer of the Miccosukee Health Department. This role involves schedule management, meeting coordination, communication, and administrative and operational knowledge. An ideal candidate will have knowledge in the healthcare space and possess exceptional management and organizational skills. The Executive Assistant will be responsible for managing the COO's schedule, coordinating complex travel arrangements, and maintaining sensitive and confidential discussions. The position requires the ability to prepare, review, and present a broad spectrum of proposals for approval, ensuring that all deliverables are met in a timely manner. In addition to administrative support, the Executive Assistant will serve as the primary point of contact for the Chief Operating Officer, facilitating communication across all health-related departments. This includes managing general correspondence and coordinating communication between the Health Director and other executives on behalf of the COO. The role also involves assisting in the execution of special projects assigned by the COO, monitoring and reporting on project timelines across the Health Department, and staying informed about tribal, healthcare, and other related connections locally and across the region. The Executive Assistant will foster a culture of innovation and continuous improvement among Health Department staff, providing team leadership and development. This includes giving directives and communicating effectively to supervisor groups. The position also requires collaboration with internal staff and vendors to evaluate, select, and implement solutions that align with the COO's vision, managing vendor relationships to ensure service quality and cost-effectiveness, and aiding in contract development. Furthermore, the Executive Assistant will collaborate in the development and implementation of training programs for healthcare and support staff, ensuring competencies are met and staying abreast of technological advancements to educate the organization on emerging trends.

Responsibilities

  • Prioritize and manage the schedule of the Health Department Chief Operating Officer to meet determined deliverables.
  • Coordinate complex travel schedules, itineraries, and associated expense reports.
  • Maintain sensitive and confidential discussions.
  • Prepare, review, and present a broad spectrum of proposals for approval.
  • Serve as the primary point of contact for the Chief Operating Officer.
  • Coordinate and facilitate communication across all health-related departments.
  • Manage general correspondence between the Health Director and other executives on behalf of the COO.
  • Assist in the execution of special projects assigned by the Chief Operating Officer.

Requirements

  • Bachelor's or master's degree in health or administrative field.
  • Proven experience in a leadership role within healthcare.
  • In-depth knowledge of healthcare industry regulations and standards.
  • Strong project management skills with a track record of successful implementation.
  • Excellent communication and interpersonal skills.
