About the position

The Executive Assistant at Jefferson Center for Mental Health will provide comprehensive administrative support to the Chief Business Development Officer and the Philanthropy, Communications, and Community Engagement Department. This role is crucial in managing schedules, correspondence, and data tracking for business development projects, while ensuring confidentiality and promoting the corporate image through excellent customer service.

Responsibilities

  • Provide direct administrative assistance to the Chief Business Development Officer (CBDO).
  • Schedule, coordinate, and attend meetings, recording minutes as necessary.
  • Initiate and draft responses to written correspondence.
  • Make travel arrangements and support conference registrations.
  • Prepare itineraries for approved staff.
  • Screen and route telephone calls, incoming mail, and other correspondence.
  • Complete purchase orders, expense reports, and credit card reconciliations for the department.
  • Provide backup support to other Executive Administrative Assistants.
  • Prepare reports and agendas for departmental meetings.
  • Track trainings and events in community calendars.
  • Manage inventory of marketing and training materials and place orders as needed.
  • Schedule community events in Eventbrite for promotion.
  • Serve as a liaison for sponsorship management, coordinating payments and benefits.
  • Fulfill and coordinate online ticket requests for the department.
  • Support department events, campaigns, and projects as needed.

Requirements

  • High school diploma or GED with six years of relevant experience, including two years as an Executive Assistant.
  • Two years of advanced education may substitute for one year of experience; a four-year college degree may substitute for four years of experience.
  • Previous experience with C-level executives is highly desirable.
  • Broad knowledge of organizational operations and policy, discretion, and technical skills.
  • Ability to accurately capture and transcribe meeting minutes; typing speed of 60 WPM.
  • Excellent organizational skills and strong verbal and written communication skills.
  • Good judgment and excellent customer service skills.
  • Attention to detail and ability to work independently and as part of a team.
  • Proficiency in Office 365, including Microsoft Word, Excel, PowerPoint, and Outlook; experience with Microsoft Teams, SharePoint, and One Drive.
