About the position

Endicott College is seeking a dedicated Executive Assistant to support the Senior Vice President for Student & External Affairs, as well as other senior leadership within the college. This newly created role is pivotal in ensuring the smooth operation of the SVP's office and will involve a variety of administrative tasks that are essential for the effective functioning of the college's leadership team. The Executive Assistant will be responsible for managing the SVP's calendar, handling communications, and coordinating travel and expenses. This position is highly visible and offers the opportunity to engage with key leaders across the campus, providing a unique chance to contribute to the college's mission and community. In this role, the Executive Assistant will spend approximately 60% of their time directly supporting the SVP. This includes strategically managing the SVP's daily calendar, attending meetings to take minutes, and tracking follow-up tasks for meeting attendees. The assistant will also manage day-to-day correspondence, including phone calls, emails, and written communications, and will be responsible for booking both domestic and international travel arrangements, as well as processing expenses and reimbursements. The remaining 40% of the role will involve providing secondary administrative support to the President's Office and the Student & External Affairs Division. This includes covering the president's office phones and schedule during the executive assistant's breaks, coordinating meetings and meals for guests, and serving as the first point of contact for visitors to the President's office. Additionally, the Executive Assistant will support special events with planning and preparation, ensuring that all aspects of the events run smoothly. The ideal candidate will possess strong organizational skills, effective communication abilities, and a commitment to maintaining confidentiality. They should be adaptable and proactive, demonstrating initiative in identifying opportunities for improvement within the administrative processes. This role requires a team player who is willing to collaborate and share knowledge with colleagues, contributing to a positive and productive work environment.

Responsibilities

  • Serve as the primary administrative enable to the Senior Vice President (SVP)
  • Strategically manage and schedule the SVP's daily calendar
  • Attend meetings with the SVP to take minutes and track follow-up tasks
  • Manage day-to-day correspondence and communications for the SVP
  • Book domestic and international travel arrangements
  • Track and process expenses and reimbursements

Requirements

  • Active knowledge of the Google Suite required
  • Minimum of 3 years of experience scheduling and coordinating cross-functionally
  • Ability to operate in a detail-oriented role
  • Strong communication and influencing skillsets
  • Strong business acumen and an ability to maintain confidentiality
